Equality Monitoring Privacy Notice
Notice AU-notice-1.0 · consent AU-consent-1.0 · question set AU-1.1 (Australia)
1. Who we are
Profiled is operated by Profiled Careers Pty Ltd (ABN 89 698 676 309). For anything about this notice or your answers, contact our privacy contact at privacy@profiledcareers.com. This notice adds to our Privacy Policy; it does not replace it.
2. What we ask, and that it is optional
Candidates in Australia whose profile is published may be offered these questions. Every question is optional and offers “Prefer not to say”; you can also skip them all.
- How do you describe your gender?
- What is your age group?
- Are you of Aboriginal or Torres Strait Islander origin?
- Do you have a disability or a long-term health condition that affects your everyday activities?
Your answer about Aboriginal and Torres Strait Islander origin, and any answer about disability or health, is sensitive information under the Privacy Act 1988 (Cth). We never ask for proof, diagnoses or medical details, and we never work out any of these answers from your name, photo, location or anything else. The disability question is a simplified question for this pilot, not an official statistical measure, and your answer does not decide whether disability discrimination law protects you.
3. Why we ask
Only to check whether our recruitment matching tool produces different outcomes for different groups, and to fix any unfair criterion for everyone if it does. We collect your answers with your consent, which you give with a separate tick box, and only the answers you choose to give. We do not use them for any other purpose: not for matching, ranking or explaining results, not to train or prompt any AI system, not for advertising, and not to enrich what recruiters or employers see. Your choice to answer or not makes no difference to your profile, your results or your use of Profiled.
4. Who can see your answers
Your answers are stored apart from your profile under a coded identifier, in a restricted area of our database that our application cannot read. Recruiters and employers never receive your individual answers or whether you answered. Only authorised monitoring and privacy personnel, and contracted service providers with a necessary role (our database provider, Supabase), can access them, under restricted controls. Anything we report outside the monitoring team is statistics that have passed a disclosure-risk review, and we will not publish demographic breakdowns from the small volunteer pilot.
5. Where your answers are stored
In the United States (Amazon Web Services, us-east-1, through our database provider Supabase). This means your answers are held overseas. Our full list of service providers and where they operate is on our sub-processors page.
6. How long we keep them
No more than 6 months from when you last answered, and less if we no longer need them. They are then deleted automatically. Our protected backup copies expire within 7 days of any deletion.
7. Stopping, changing and your rights
You can stop and delete your answers at any time on the equality questions page or by emailing privacy@profiledcareers.com. We exclude them from new analyses as soon as we receive your request and delete them from our live database straight away. Withdrawing does not affect use before you withdrew, and statistics already made genuinely anonymous may remain because we can no longer identify your contribution. You can change your answers by answering again. To ask for a copy of your answers or to correct them, email our privacy contact: our application cannot read them, so an authorised person handles the request.
If you are unhappy with how we have handled your information, contact us first. You can also complain to the Office of the Australian Information Commissioner (oaic.gov.au).
8. Accessibility support
You can ask for accessibility support or adjustments through Support at any time. You never need to answer these questions to get it.
